HOW TO POST YOUR EVENTS

HOW TO OBTAIN AN ACCOUNT TO POST TO THE CSC CALENDAR:

Posting content of any kind or RSVPing to an event requires you to sign up for a CSC account, free of charge.  Our site allows for RSVP if your group wishes to list an event that requires RSVPs.  You would use the RSVP feature if you were planning an event and you wanted to know how many people committed to showing up at that particular event.  This helps prevent low-shows and no-shows.

If you need greater attendance at events hosted at your location, or if your venue or location has a website but not a website calendar, ask CSC about our special calendar feature: we can provide a link for you to post on your site that will link your website visitors to the CSC Events Calendar and display only events held at your specific venue.  Essentially, you post your events to CSC’s community calendar and visitors to YOUR website, along with an entire greater metropolitan community, get to view YOUR events using CSC’s website & calendar format.

If you are a new user and wish to post events to the calendar, contact WebMaster1@Community-Server.com and leave the following information (we won’t be able to reply if you leave any information out):

your name;

your voice phone# (NO texts);

a description of the type(s) of event you will usually post (recurring, single-date, type of music, type of venue-church, business, educational inst., etc);

the COMPLETE street address (no PO Boxes) of the venue and number of persons it can contain according to current fire department codes (this will assist in RSVP booking);

the name & email address of the contact person who will actually be posting.

CSC EVENT CALENDAR POSTING – GENERAL POSTING RULES 1:

Those posting events are strongly encouraged to arrange their posts in a manner that requires the least amount of browsing so that CSC site visitors can quickly decide which events are suited to them.

Below are the types & descriptions of events you may post in our calendar.  All events MUST be absolutely FREE OF CHARGE.  Some venues solicit and/or accept voluntary donations or may post a free event wherein a product and/or service is demonstrated.  This is acceptable.  If you have any suggestions about events you wish to post other than those listed in CSC EVENT CALENDAR POSTING RULES 2 – WHAT TO POST & ALLOWED EVENT TYPES, we welcome your email to WebMaster1@Community-Server.com .

Be aware that users of the site are encouraged to report a venue that posts an event as “free”, but requires a mandatory “donation”, the purchase of an event “discount” coupon, or any other consideration required to gain entrance to the event.  All such events DO NOT qualify for posting to CSC, and will be removed, and those accounts may be barred from CSC.  For each city and state CSC events are posted in, the State Division of Consumer Affairs, State Department of Revenue, and IRS have very specific rules regarding the differences between truly free events and paid events.  If you are posting an event, please make your post honest, accurate, & transparent.  CSC site visitors are also encouraged to report posted events that are offensive or do not meet posting criteria as set forth in TCUS or any other of CSC’s policies.

Posts for events that occur at a location more than 25 miles from the city named in the URL may be removed.  Example: You post an event located in DeLand, FL in the Orlando.Community-Server.com Event Calendar.  DeLand is 40 miles from Orlando.  You must post it in DeLand.Community-Server.com, if that site exists at the time of your posting.

You may not post any links, comments, or contents of any kind that conflict with, compete with, or defame/devalue CSC or its users.  Examples include, but are not limited to, links to other calendars and/or websites with competing or similar contents, content that discourages users from visiting Community-Server.com, false or misleading content, content which advertises or encourages illegal behavior or activities.  Please see TCUS section for full details.

CSC EVENT CALENDAR POSTING RULES 2 – WHAT TO POST & ALLOWED EVENT TYPES:

Generally speaking, CSC posts special family-friendly events.  Such events would not include regularly held meetings such as church services, unless such services contained a special occurrence, such as that consisting mostly of music, a meal, a picnic, and/or games/activities.  If you have any questions, you may email WebMaster1@Community-Server.com .

Music: Currently, music events posted on our calendar must consist of live music.  Typical music types include: Classical, Religious, Jazz, Concert Band, Choir, Vocal, Orchestra, Instrumental, Chamber, Opera, Symphony, Philharmonic Orchestra, Clean Country, Country Gospel, BlueGrass, Easy Listening, Clean Folk, Gospel, Traditional New Age, Calypso, Steel Drum.  Such events will often take place in Churches, Cathedrals, Universities, Outdoors, etc.  Events in which pre-recorded music is the main feature, types of musical events that are heavily covered in other media, and/or musical events that require paid admission, e.g. rock, rap, etc., are not allowed.  To qualify as a musical event, live music must occupy at least 75% of the total venue time.

Food: To qualify for listing, food must viable for human consumption and meet the standards under the Bill Emerson Food Donation Act.  Examples are potlucks, community sponsored meals, community pantries, ministry events, scheduled food dispensations, christian service centers, etc.

Sports: Must be free and “live” to qualify for listing, but you may promote or show a product if participants are engaged in the actual sport for 75% of the total venue time.  This category includes active participation in or viewing a live sporting event.

Hobbies:  Must be free to qualify for listing, but you may promote or show a product if participants are engaged in the actual hobby for 75% of the total venue time.

Educational: If you want exposure for your organization, business, and/or ministry, or you simply want to share your knowledge with other like-minded individuals, your event must be free to qualify for listing, instructors must be knowledgeable and prepared to answer questions about their subject, and the event must be live and interactive.  You may promote or show a product if participants are engaged in actual education for 75% of the total venue time.

Ministry Events: Must be free to qualify for listing, and offer a tangible product and/or valuable, practical service to attendees.  You may sell products as well if you give away at least 3 times the value in free items compared to the value of sold items.  Examples include bicycle repair, Food Dispersion, Clothing give-away, etc.

Cultural Events: Must be free to qualify for listing.  May include art and other museums, galleries, gardens, theater, comedy, etc.

Religious or Political:  Postings for these events are not allowed, with the following exceptions: You may post a Church service if it includes MOSTLY music, and/or if the service is followed by a picnic and/or games, however, you must split the start and end times of the church service & the after-service activities into 2 separate events.  You may post an event at any venue if at least 75% of the total venue time is devoted to the types of activities mentioned in “CSC EVENT CALENDAR POSTING RULES 2 – WHAT TO POST & ALLOWED EVENT TYPES”.  Example: Mary, the church secretary, wants to post a 90 minute “concert” that contains 4 pieces of music totaling 15 minutes and 60 minutes of verbal dialogue/monologue.  This is a church service, not a concert, so it does not qualify as a musical event, and does not qualify to be posted.

CSC EVENT CALENDAR POSTING – POSTING GUIDE & DIRECTIONS

Those posting events are strongly encouraged to arrange their posts in a manner that requires the least amount of browsing so that our visitors can quickly decide which events to attend.

In order to post an event, your venue’s complete location information must first be listed with your Location Title, Details, and Street address under Events:Locations.  Mouse-over Events, then select Locations.  Select the Add Location link and proceed from there.  You will see a flashing cursor to the left of “Enter Title Here”.  YOUR LOCATIONS TITLE IS EXTREMELY IMPORTANT.  IT MUST BE LIMITED TO 50 CHARACTERS OR LESS AND SHOULD GIVE SITE VISITORS A CLEAR IDEA OF YOUR VENUE’S LOCATION.  IT WILL AUTOMATICALLY APPEAR ON THE MONTHLY EVENTS CALENDAR AS PART OF EVERY EVENT YOU POST.  CSC strongly suggests allowing us to assist you with this information.  See Examples: below.  After entering your LOCATION TITLE, go to the big square below and add details about your venue that you think are appropriate.  To post a link on CSC to your website for your location, you must first contact WebMaster1@Community-Server.com  .

Then, in the “Where” Section, enter ALL information EXCEPT Region–it must be left blank.  This information will help display your Google map location to users.  When finished, click the Publish button.  Your LOCATION information is now a permanent record and will be used when you post your EVENTS.

Examples:
Betty, the church secretary, lists her location information as “Central Church”.  Although this LOCATION TITLE easily falls within the 50 character limit, site users looking at this post will not know: the actual church, (how many other churches in the area are called “Central Church” – probably at least several others?) or the city and city sub-area (I may not have time to drive 50 miles to get to your city).  A more appropriate LOCATION TITLE would be “Central Catholic Church Orlando SouthEast”, or “St. Barnabas Episcopal Church Orlando NorthWest”.  LOCATION TITLES are sorted alphabetically, so we suggest putting the complete church name first, then the city, then city sub-area such as “SouthEast”.

Once your LOCATION has been registered, you may now post events.  The way your event appears on the CSC Events Calendar will directly influence attendance at your event.  A well-worded EVENT TITLE uses as few words as possible and has all necessary information for a site visitor to quickly decide he will attend your event.  EVENT TITLES have a 40 character limit.

Examples:
Betty, the church secretary, lists her event with the title, “Gospel Music”.  Although this title falls well within the 40 character limit, site users looking at this post will not know: whether the music is instrumental or vocal, or who is performing the music.  These details are KEY for those trying to decide which concerts they will attend.  A more appropriate EVENT TITLE would be “Church Choir Gospel Music”, or “Virgil Fox, Organist-Bach”, or “Cindy DuChane Soprano-Mozart”.  Words such as plays, recites, sings, vocalist, when they are implied, are not necessary and produce EVENT TITLES that take up more space than necessary on the monthly calendar page.  The idea is to use as few words as possible and convey the most specific information.  This logic applies to all posted events, regardless of type.  CSC is willing to assist novice posters in your EVENT TITLE if you email all information requested in the section “HOW TO OBTAIN AN ACCOUNT TO POST TO THE CSC CALENDAR”.

In the When section, select your starting & ending Dates & Times.  In the Where section, begin typing your Location Name:–when you see choices displayed, select your location, which will automatically fill in your information.  Select your Event Categories (more than one if needed).  In the large EVENT DETAIL box, you may type or cut/paste more specific information about your event.  To increase attendance at your event, CSC suggest your EVENT DETAILS consist of the entire contents of the actual program.  These details would include all the things a person would see in your printed brochure if they actually attended the event, such as: the names of individual pieces or songs performed, the artists, conductor, instruments involved, etc.  You may post as much information as you want in the details section of your post.  CSC’s desired format for EVENT DETAIL posts is to have you post only the pre-publication text to EVENT DETAILS.  You may copy & paste that text directly to the EVENT DETAILS section.

When you have finished, Preview your event with the Preview link.  When you are satisfied with your Event Posting, Publish it with the Publish link.

You can now view your event on http://orlando.community-server.com/ .  If you are viewing the monthly calendar, you should see your event posted on the date you assigned, in the following format:  Start Time-End Time LOCATION TITLE–EVENT TITLE.

Why does CSC have specific posting guidelines?  When a site visitor views the monthly CSC calendar, he first sees only the POST TITLE, which is a combination of the Start Time, End Time, LOCATION TITLE, and EVENT TITLE.  Site visitors must have the option to accept or reject the event based solely on the POST TITLE with no further investigation.  In some cases, this will require some creative title posting.  In most cases your best post will come from an assumption that site visitors want to know everything about your location and event, know nothing about either one, and want to spend as little time as possible locating an event for which they wish to see more information.  CSC, and its site visitors, will appreciate your efforts to promote your venue and/or events, while also respecting the value of CSC’s limited monthly calendar space and site visitors’ time.

CSC reserves the right to remove and/or modify posts for any reason, including but not limited to:

event doesn’t meet posting criteria;
posting information is missing or inaccurate;
multiple complaints from attendees;
event not as advertised;
repeated cancellations and/or changes of times/venues from the original posting;
post is offensive under normal and/or business etiquette;
extremely low or no attendance;
event conspires, inspires, incites, and/or advertises illegal, immoral, or generally unacceptable behavior among its attendees.
